About PDF to Excel

A report arrives as a PDF and the numbers in it need totalling. This finds the table by looking at where the words sit: cells are split where the horizontal gaps are wide, and columns are only recognised where several rows line up at the same position down the page. The result is an .xlsx you can calculate with.

How it works

Questions

Two columns have been merged into one cell.
The gap between them was not wide enough to read as a column break. Move the “Column split” control towards “eager” and run it again.
One value has been cut in half across two cells.
The opposite problem — a gap inside a value was read as a column break. Move “Column split” towards “conservative”.
Why is the layout wrong even after adjusting?
PDFs contain no table structure at all, only positioned words. Merged cells, cells whose text wraps onto two lines, and nested headers have no geometric signature, so they cannot be reconstructed reliably. Always check the result against the original — the tool is a large head start, not an authority.
It says no text was found.
The page is a scan — a picture of a table rather than a table. That needs OCR, which this site does not do.
Are numbers usable in formulas straight away?
They arrive as the text that was printed on the page, including any thousands separators or currency symbols. Excel converts most of it on entry, but locale-specific formats may need Text to Columns or a find-and-replace before they add up.
